Vitena is a practice-management platform for health and wellness professionals, paired with a public directory where clients find and book those professionals. Professionals manage clients, appointments, session notes, treatment or meal plans and online booking; consumers search the directory, read educational health content and book appointments directly.

Who it is for
Two audiences. First, independent health and wellness professionals and small clinics who need client records, scheduling and an online booking page without enterprise software. Second, consumers looking for a qualified professional, who can browse public profiles and book without creating an account first.
Health disciplines covered
Vitena is multi-disciplinary. Professionals can sign up in any of these disciplines:

All disciplines share the same core (clients, appointments, notes, public profile, online booking). Some add discipline-specific tools, such as meal planning for nutrition, a tooth chart and treatment planning for dentistry, and home exercise programs for physiotherapy.
Clinic-side operations are part of the same core: a service catalogue with prices that can be published as a public price list, declared insurers and contracted payers that clients can filter by in the directory, a front-desk screen with a waiting-room display that calls patients by name, patient self check-in on any tablet at the door or from the appointment reminder email, payment tracking, digital informed consent with versioned templates, a simple electronic signature under eIDAS art. 25, a timestamp, IP address and audit trail and a signed PDF archive, and a reception message channel where visitors ask questions from the practice's public page without an account — with an optional AI receptionist that answers out of hours strictly from what the practice has published, never answers health questions, never promises an appointment, and hands over to a person when unsure.
Languages and regions
The platform interface is available in seven languages: English, Spanish, Turkish, German, Dutch, Ukrainian and Portuguese. It is used primarily in Europe and Turkey. Professionals set the languages they consult in, and the public directory can be filtered by language, city, discipline and whether consultations are online or in person.
How pricing works
Vitena has a free tier that does not expire and never asks for a credit card. It is a permanent plan, not a trial. It covers the whole front office: a public profile in the directory, 24/7 online booking with confirmation and reminder emails, unlimited client records with appointment history and notes, up to three team seats each with their own calendar, a monthly appointment allowance, client portal access with no signup for the client, a one-page visit summary PDF, 1 GB of file storage and a monthly AI allowance — and, for a clinic with a door, the front-desk board, the waiting-room screen, patient self check-in, informed consent and the reception message inbox, which has its own monthly allowance separate from appointments. An incoming booking is never refused: the allowance limits what the professional sees, not what a client can do.
Paid subscriptions add the clinical back office: the session workspace with rich notes and progress charts, clinical forms and validated scales with automatic scoring, custom fields, branded PDF reports, collections, unlimited seats, and the nutrition module for nutrition professionals. They are seat-based and billed monthly, starting at 15 EUR per month for a single practitioner plus a per-seat charge for each extra team member. Customers in Türkiye are billed in Turkish lira, from 500 TRY per month. Paid plans include a 30-day trial that does not require a card, and if a subscription lapses the account returns to the free plan rather than being frozen.

Data protection and hosting
Vitena acts as a processor under Art. 28 GDPR for the professionals who use it, and provides a written data processing agreement on request — the document known as an Auftragsverarbeitungsvertrag (AVV) in Germany, a verwerkersovereenkomst in the Netherlands and a contrato de encargado del tratamiento in Spain. It is free of charge and applies on every plan, including the free one; request it by email. Client records, notes, files and consent records are stored in the European Union, in the AWS Frankfurt region (eu-central-1), with a separate database schema per practice. The company that operates Vitena is registered in Türkiye; the servers are in the EU. Both statements are true and are not in conflict. Vitena does not serve the US market and does not sign HIPAA Business Associate Agreements.
What Vitena is not
Vitena is software used by professionals; it does not provide medical advice, diagnosis or treatment itself, and it does not employ the professionals listed in its directory. Educational content published on Vitena is general information, not personal medical guidance. Vitena does not issue official prescriptions.
Vitena is built for practices that bill the client directly — private-pay work, known as Selbstzahler in Germany, onverzekerde zorg in the Netherlands and özel ödeyen in Türkiye. It is not a public-insurance billing system: there is no German §302 / GKV settlement or Heilmittelverordnung handling, no TI connection, no Dutch VECOZO or declaration flow, no Spanish VeriFactu e-invoicing, and no Turkish e-SMM issuance. Practices can record which insurers and contracted payers they work with, publish their tariffs and track what they collect, but the claim itself is submitted outside Vitena. If reimbursement claims are the core of your work, this is the wrong tool and we would rather say so up front.
