Online Booking System
Vitena's online booking system allows your clients to book appointments 24/7 through your personalized profile that you can share on your website or social media. Your appointments can fill up even while you sleep.
In many practice-management products online booking is an add-on or a higher-tier feature. In Vitena it is included in every plan — the free one included — because getting booked is the part that should never have a price tag on it.
Public Business Profile
Vitena provides you with a public profile page (vitena.care/p/your-business-name). This page is indexed by Google and other search engines, making it easier for potential clients to find you.
Your profile displays:
- Business name, logo, and description
- Areas of expertise and certifications
- Working hours and locations
- Detailed team member profiles
- Online booking button
- Contact and social media links
Availability Calendar
Clients can view your real-time availability through your public profile. Your weekly schedule and exception days (holidays, time off) are automatically reflected.

- Configure start and end times for each day
- Add holidays and days off as schedule exceptions
- Set your preferences for online or in-person appointments
- Publish your profile - clients can start booking immediately
Client Booking Process
When a client wants to book an online appointment, they follow these steps:
- Visit your public profile
- Select a consultant (in clinic settings)
- Choose an available date and time
- Pick in-person or online
- Enter their basic information
- Confirm the appointment
Once confirmed, an email notification is sent to both you and the client. For online appointments the meeting link is delivered automatically. The booking appears in your Vitena calendar instantly.
Prices and Payment Up Front
Everything a client pays is set in one place: the Price List in the menu. Profile settings no longer hold a fee.
- Price per service: the practice price, and a different price for one practitioner if needed
- Default service for online booking: used when a client books without choosing a service; its price is shown as your fee on your web page and in the directory
- Payment up front: set per service — a deposit or the full price, by bank transfer or by card through Vitena. A first visit can ask for a deposit while a follow-up asks for nothing
- Payment deadline: one setting for the whole business, above the price table. A booking that is not paid in time is cancelled and the slot opens again
- Appointment duration: Profile Settings → Working Schedule
Public Profile Visibility
You control how your public profile is presented from business settings. There are three core toggles:
- Allow Online Booking: When on, clients can book from the profile; when off, the booking button is hidden (the profile stays visible)
- Show/Hide Consultant Profiles: In a clinic setup, show every consultant's detailed profile to visitors or only show the business
- Publish/Unpublish Public Profile: A master toggle to take the profile offline or live
Each consultant can also flip "Visible on Public Profile" in their own profile settings — even if the business is live, an individual can opt out of being shown.
