Collections - Track the Payments You Receive

Record what you collect in one place, analyse it, and export it for accounting.

What Is Collections Management?

The Collections module is built for dietitian practices to record, track, and report payments they receive from clients.

Important note: Vitena does not collect payments; it only records the ones you collect yourself. Clients pay you with cash, card, bank transfer, or online (e.g. iyzico, Stripe), and you add a record into Vitena.

Vitena takes no commission — it just centralizes the payments you receive and lets you report on them.

Creating a Collection Record

A collection record includes these fields:

  • Amount and currency: EUR, USD, TRY, GBP
  • Payment method: Cash, Card, Bank Transfer, Online
  • Status: Pending, Paid, Cancelled
  • Date: Payment date
  • Client link: Which client it belongs to
  • Appointment link (optional): Which appointment it relates to
  • Note: Free text (reference number, reminder, etc.)

Advanced Filtering and Search

The list page has comprehensive filters to find what you need quickly:

  • By status (Pending / Paid / Cancelled)
  • By payment method
  • By client
  • By date range
  • By currency
  • Search: In client name, email, or note
  • Sort: By date, amount, status, client name, or update date
  • View mode: List or grid
  • Focus mode: Collapse the filter panel for a cleaner workspace

Dashboard Analytics

The collections dashboard visualizes your practice's cash flow with charts:

  • Summary Stats: Total paid, pending, and cancelled amounts
  • Daily Trend Chart: Stacked bar chart showing Paid/Pending/Cancelled status
  • Payment Method Distribution: Doughnut chart by method (cash share, card share, etc.)
  • Currency Selection: Pick the currency shown in charts
See monthly revenue, outstanding balances, and payment method distribution at a glance — with charts.

CSV and Excel Export

Export to your accountant with one click:

  • CSV: For importing into accounting software (e.g. Quickbooks, Logo)
  • Excel: For detailed reporting and filter-driven analysis

When you apply filters, only filtered records are exported — so you can generate monthly or per-client reports easily.

Client Collections History

Every client detail page has an embedded collections widget. With it:

  • You see every payment the client made to you at a glance
  • You can filter by currency
  • You get instant totals of paid and pending amounts
  • You assess the long-term relationship by reviewing payment history
