Client Portal - Private Client Access, No Signup

Give clients private online access to their plans, documents and progress — with no signup.

What Is the Client Portal?

The Vitena Client Portal is the private page where your clients find everything you share with them: their appointments, the note and documents from each visit, the forms you send, their messages with your practice and their own progress. With token-based secure access, your clients don't need to register - they can access instantly with the link you share.

What the portal shows follows your discipline. A physiotherapist's client finds their home exercise program, a dietitian's client their meal plan and shopping list, and before/after photos appear for the disciplines that take them. Session notes and documents stay private until you share them.

One private link, no registration - and each client sees the sections that belong to your discipline.

Portal Features

For every discipline:

  • My Appointments: Upcoming and past appointments, the session note and documents you shared for each visit, a "Join Meeting" button for online appointments and "Book Follow-up" for the next one
  • My Documents: Every file you have shared — PDFs, images and invoices — in one list
  • My Forms: The intake forms and questionnaires you send open in a focused fullscreen mode; the client is redirected back to the portal after submission
  • Messages: The client's conversation with your practice
  • My Progress: Clients enter their own measurements and see weight, BMI chart, and a visual BMI scale
  • More than one professional: Clients who see several professionals on Vitena find all of their data in a single portal

By discipline:

  • Nutrition: Meal Plans with multi-day navigation and full macro nutritional values, a Food log and an auto-generated Shopping List
  • Physiotherapy: My Exercises — the home exercise program you prescribed, with illustrations, sets and reps
  • Dentistry, beauty, physiotherapy and nutrition: Before / After — the dated treatment photos you took, side by side

Zero-Friction Access

Vitena takes a "zero friction" approach to client access. Clients don't need to create an account or set a password. They access instantly with a token-based private link.

Our market research showed that clients prefer instant access. Mandatory registration creates friction and reduces client satisfaction.

Dicas
  • You can easily send the portal link to your client via WhatsApp or email
  • Clients who see more than one professional on Vitena find all their data in a single portal
  • The portal is fully mobile-friendly - works seamlessly on phones and tablets

Exercise Programs and Before / After Photos

The portal is not only about meal plans. Two modules put other disciplines' work in front of the client:

  • My Exercises: The home exercise program you prescribed in the session. Each exercise shows its illustration and instructions in the client's own language, along with sets, reps, hold and rest times and your note
  • Before / After: The dated photos you took during treatment, shown side by side so the client can see the change. The section appears once the first photo exists, so nobody lands on an empty page

A client of a psychologist or a child-development specialist sees the shared sections: appointments, documents, forms, messages and progress.

Nutrition Module: Categorized Shopping List

Vitena auto-generates the shopping list from foods and recipes in the meal plan. The list follows supermarket aisle logic with 10 categories so clients move through the store faster:

  • 10 Aisles: Vegetables, fruits, protein, dairy, grains, oils, nuts, spices, sweeteners, other — each with its own header, icon, and counter
  • Recipe Disaggregation: Ingredients from added recipes expand into the list automatically and duplicates are merged (e.g. "100g tomato" in two recipes → "200g tomato")
  • Check-off: Mark purchased items as you shop
  • Progress Indicator: Shows completed vs. remaining items

This makes plan adherence easier for clients and improves treatment outcomes.

Supermarket aisle logic: auto-split into 10 categories with merged recipe ingredients — no time wasted in the store.

Nutrition Module: Multi-Day Plan Navigation

Weekly or monthly meal plans built by the dietitian can be browsed day by day inside the portal. Each day shows its own meals and macro totals.

  • Previous/next-day controls for easy navigation
  • Per-day summary of calories, protein, carbohydrate, fat
  • Per-meal food list with portions
  • Full recipe contents (system recipes and the dietitian's own recipes)
